Privacy Policy
for Automation
1. Introduction
Automation is a private workflow automation application operated through a self-hosted n8n installation.
This Privacy Policy explains how Automation accesses, uses, processes, stores and shares Google user data when the account owner authorizes Google Drive access.
2. Google User Data Accessed
Depending on configured workflows, Automation may access:
- Google Drive files and file contents
- File and folder names
- File and folder metadata
- Folder structure
- Files selected for workflow processing
- Files generated by workflows
Google Drive authorization may allow the application to create, read, update, move, rename and delete files and folders where required by the authorized workflow.
3. How Google User Data Is Used
Google user data is used only to perform automation requested by the authorized account owner.
Typical uses include:
- Downloading source files
- Reading source content
- Processing e-learning material
- Generating text-to-speech audio
- Creating output files
- Uploading generated audio
- Organizing files and folders
- Renaming or moving workflow outputs
- Deleting files when explicitly required by a workflow
4. External Processing / Data Sharing
Automation may transmit relevant content to external processing APIs only when required by a workflow configured by the authorized account owner.
For example, text or source content may be sent to configured Google APIs or text-to-speech services, including Google Cloud Text-to-Speech or Gemini-related services, for the purpose of generating audio or other requested output.
Data is not shared for advertising, profiling, data brokerage, sale, or unrelated commercial purposes.
5. Data Storage
Files intentionally created by workflows may be stored in the authorized user's Google Drive.
The self-hosted n8n system may temporarily process data while a workflow is executing.
The application does not intentionally create independent long-term copies of Google Drive content outside the systems required to execute the configured workflow, unless the account owner explicitly configures a workflow to do so.
6. OAuth Credentials
Google OAuth access tokens and refresh tokens are used solely to authenticate authorized requests to Google APIs.
Credentials are stored within the private self-hosted automation environment and are not publicly exposed.
7. Data Sale and Advertising
Automation does NOT:
- Sell Google user data
- Rent Google user data
- Use Google user data for advertising
- Create advertising profiles from Google user data
- Transfer Google user data to data brokers
8. Limited Use
Automation's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
9. User Control and Revocation
Users can revoke the application's Google account access at any time through their Google Account security settings under third-party access.
After access is revoked, Automation will no longer be able to obtain new Google Drive data using that authorization.
10. Data Security
Reasonable technical controls are used to protect the private automation environment, including HTTPS for public network communication and restricted access to the internal automation infrastructure.
11. Children
The application is a private automation tool and is not intended for use by children or for collecting children's personal information.
12. Changes to This Policy
This Privacy Policy may be updated when the application's workflows or data practices change.
The latest version will always be published at: https://oauth.vnptacademy.uk/privacy
